You will be working in our office in Carnaxide, Portugal, where we have a team of 50 #amazing# people, working in areas such as Software Development, Account Management, Logistics, Marketing and Administration, among others.

The Job
You will be responsible for handling organizational and clerical tasks and supports the Finance, Admin, and Logistics Manager in all aspects of warehouse operations, receiving and processing orders, preparing outgoing shipments, reviewing shipment documentation, and maintaining inventory of shipping supplies. In addition, the Office & Logistics Assistant works with shipping vendors, coordinates merchandise returns, and manages electronic shipping files.
So, what will you be doing as an Office & Logistics Assistant?
To perform this job successfully you must be able to execute the following tasks:
- Handling incoming calls and other communications;
- Welcoming visitors when necessary;
- Managing incoming and outgoing correspondence;
- Managing filing system;
- Organizing travel arrangements as needed;
- Organize and maintain the general upkeep of the office premises;
- Monitoring and replenishing inventory for office and scullery supplies;
- Verifying, acknowledging and processing orders from FCPs and providing shipping updates;
- Communicating with shipping vendors;
- Preparing and processing shipping documents, including packing lists, waybills, and customs clearance documents;
- Ensuring timely collection and delivery of goods (orders);
- Processing returns requests (RMA) received from Partners;
- Coordinating with FCPs, freight forwarders, and manufacturers for RMA return logistics;
- Manage and coordinates computer equipment maintenance liaising with outsourced service providers;
- Assisting with other logistics-related tasks as needed.
Requirements

- Knowledge of office management systems and procedures;
- Working knowledge of office equipment;
- Proficiency in MS Office (MS Excel, in particular);
- Experience with any CRM software is a plus;
- Excellent verbal and written communication in Portuguese and English.

Other valued skills
- High school degree; additional qualification will be a plus.
